Yes, and you don’t need programming support to do it. Using the system’s internal tools, you can configure the look and feel, add more fields, create alerts, change workflows, mail merge recruitment notifications, add drop-down lists, and more. These will be managed by the database administrator.
Yes. ActionHRM is designed to build on your current HR practices and policies. The flexible configuration allows you to tailor the system to meet your current and future needs and practices.
ActionHRM is a dynamic software development company, we have releases regularly that may contain enhancements, bug fixes and new features. Customers can request and vote on new features via our support portal. Please note you need to be a registered and paid customer to utilize our portal.
Our roadmap includes more extensive charting and data visualization, so please keep an eye on our blog for the announcement regarding release of this functionality.
Yes. The system has an alert engine that can be set up to send automated alerts to a specific person or group of people, ensuring key events are acted on. SMS and other alert transport methods may be supported in the future.
Organizational structures are built automatically based on hierarchy. They are the basis of the security system. For example, a manager can only see employees that report to them. As positions change, the system automatically updates the organization chart and the security system. It also keeps a history of the organizational structure.
Yes. The system can support multiple languages on a single database on a per session level. In other words, one employee can access the system in Spanish while another accesses it in English. Supported languages include American English, Spanish, Chinese, and Japanese, among others. At this stage ActionHRM gives our customers reporting flexibility by letting them use live filters to manipulate data and run reports based on different criteria, views, and organizational parameters. Future versions of the HR management system may include report building capabilities.

Support is available via email and phone from ActionHRM or directly from the partner that sold you the software. Phone support is only available during local business hours in the United States and Australia. Note that phone support is provided only in English. All support issues are managed based on criticality and severity. Because ActionHRM is a SaaS solution, you can expect fast responses to your support questions. Most minor issues and requests are resolved on the same day. Given the nature of software development, however, we cannot guarantee a specific resolution time.
You can use the ActionHRM system in any country. However, standard business hours phone support is only available in the United States and Australia. If you are not located in one of these countries, you can get phone support if you call during local business hours for one of these countries. Note that support is provided only in English. If you have additional questions or are interested in using ActionHRM in other countries, please contact our sales staff.
On premises deployment is only available for large enterprise customers. Please contact our sales staff for further information.
No. However, we are happy to refer you to partners.
New reports can be designed for you and will be quoted individually. Prices will include maintenance. Wherever possible, new reports are added to ActionHRM’s standard report set. If a report becomes standard, no maintenance fees are charged.
Yes. All product upgrades are included in the service subscription. Minor updates are completed outside of business hours with minimal interruption. During over 5 years of service, our uptime has been over 99.98%. For major releases, all customers can (for a minor fee) request access to an upgraded environment to test it. In all cases, we use patch streams to ensure prior functionality is maintained.
ActionHRM is easy to use. Many of our customers have found that providing a cheat sheet with basic functions is enough for general employees to use the system successfully. Some senior or functional managers (e.g., training & development, safety officer, etc.) may require some additional training. Training is provided in a train-the-trainer format: application administrators, HR staff, and senior managers are trained to use the complete application. Then they can provide training to other employees as required.
The system is priced based on • The number of active employee records (non-terminated and assigned to a position) per month • The product suite or functions made available In addition, implementation, configuration, and training costs are charged when these services are provided (usually during setup). Yes. You can create new security roles and manage access rights using our online tools. The database administrator generally does these tasks.
Data security is a prime focus at ActionHRM. Our HR management service is delivered to you using Amazon’s EC2 Cloud Infrastructure. Your data is stored in an encrypted database on a virtual private server in Amazon’s datacenter. We use multiple layers of security to make sure your data is safe:
- Physical security: Amazon operates and manages the physical infrastructure (servers, network connections, storage arrays, etc.) required for data delivery and storage. They ensure the physical security of their data center. However, they cannot access any data stored on ActionHRM servers.
- Data encryption: All data stored in the ActionHRM database is encrypted using 256 bit AES encryption. To protect data sent to and from our “Cloud Center”, we use the same SSL encryption technique that banks use for online transactions.
- User-based security: All data in the HR management system is distributed on a need-to-know basis. You decide who gets access to what information, and that security is configured by the system administrator using the system’s internal security controls.

The system automatically records the time, date, and user name for changes made during workflow steps. If you have specific change tracking requirements, please contact our sales staff. See our audit feature here.
The system provides tools to automatically escalate or manually process workflows. For example, the system can automatically escalate an workflow after a certain amount of time has elapsed. This keeps workflows from getting stuck in the middle of a process (for example, when an approver is on leave). Also, administrators can manually escalate and process workflows at any time. All workflows have detailed audit and change logs so a complete workflow history is always available for review.
Workflows are electronic change requests that are sent on a predetermined process pathway for approval. Types of workflows include requests for leave, pay raise approvals, and new employee onboarding workflows. A workflow can be created for any process that requires authorization to proceed. Most workflows can have an unlimited number of processing steps. Each workflow can be customized at the employee level to handle all processing exceptions. Using workflows is faster than paper-based processes. The requests don’t get lost or forgotten, and because of the automated escalation built into the system, you always get a response.
ActionHRM welcomes customer suggestions for changes to the system. We keep a list of all suggested changes, and sometimes we will implement a suggestion that will benefit other customers. There is a cost for implementing a custom change for a customer, and any intellectual property remains with ActionHRM. Yes. Licensed third-party suppliers can use our application programming interface (API) to connect to and exchange data with the ActionHRM HR management system.
ActionHRM is a web-based SaaS application. So, as long as your computer can run a web browser, you can use the HR management system. In other words, computers with Windows, Macintosh, or Linux operating systems can access the ActionHRM system.
ActionHRM supports the following web browsers: • Internet Explorer 7 and up • Firefox 2 and up • Safari 4 and up • Chrome 6 and up . For users of other browsers: We try to resolve operational issues with unsupported browsers, but can only guarantee operation on supported browsers..
Yes. ActionHRM offers an HR management system built as a SaaS solution. Because it is web-based, our clients don’t have to invest in special hardware or install any software or updates. Accessing the HR management system is as easy as opening a web browser, clicking a link, and signing in with your username and password. Because it uses a SaaS model, ActionHRM can be deployed quickly.
Using the system (10)
At ActionHRM we use a "fair use policy" when it comes to storage, afterall when you are using SaaS (software as a service) the last thing you should care about is storage. As a rough rule of thumb, we work with 10MB/Employee for Basic, 50MB for Essentials and 150MB for Enterprise.
Yes you can both create new ones and modify existing workflows in our Workflow Engine.
Most reports can be exported as PDF, CSV, or XLS files. Certain print format reports like job descriptions are only available as a PDF. See our reporting feature here.
Yes. Multiple companies are supported in a single database with most data types and selections are available for all entities loaded on the database. This is a feature of our Enterprise System.
Yes. The system can handle all employee types, including contractors, consultants, volunteers, and other non-traditional types. It can also manage all types of employment contracts.
Yes. You can add new fields in most areas.
Yes. You can change the colors, icons, and logos in the system to match your corporate branding. See feature information here.
Yes. You can export data using one of three methods: • Online reports • An ad-hoc reporting facility • Via web services to a licensed third-party provider that your company has authorized to collect data (e.g., for payroll) All data viewed or exported via these methods is only reproduced according to the rules set in the internal security system.
Yes. Terminated records can be kept on the system indefinitely and are not included in the active employee count. Administrators have full access to terminated employee records. ActionHRM supports periodic employment by allowing an unlimited number of re-hires to be processed. This feature is very useful for companies that hire contract or itinerant workers.
Yes. Every registered user who has access to a browser can use the HR management system.
